Large Meetings - Introduction & Overview

The BlueJeans Large Meeting feature enables your account with the ability to host large meetings; increasing the participant capacity of your meetings from 25 to 100. See BlueJeans Events if you need capacity over 100. For more information on obtaining Large Meetings for your group (including the ability to extend to 150), contact your Customer Success Manager or the BlueJeans Sales Team.
 

Admin Enabling (or disabling) the Large Meeting feature

To change the Large Meeting configuration for your group (contact Support if you do not see Large Meeting option under Manage Features):

1. Access your Admin Console and click Manage Features.
2. Check the Large Meeting checkbox to enable for your group.
3. Set the default to enabled (or disabled, if that is your preference).
4. Click link to apply this default to all users.
5. Hover over the "count" numbers to see how many users in your group have the service enabled (green) and disabled (red).

        

To enable (or disable) Large Meeting for an individual user:

1. Access your Admin Console and choose Manage Users from the side menu.
2. Search for the specific user to edit (John Smith, in this example) and click the Settings & Features tab.
3. Check (or uncheck) "Large Meeting," and Save your selection.

        

Large Meetings - Tips & Tricks

Moderating large meetings is a different experience than a standard BlueJeans meeting. Suggestions we recommend to make your large meeting go well:

1. To reduce disruption when participants arrive, make sure “Mute Participants On Entry” and “Silent Participant Entry Mode” are both checked in the Advanced Options section when scheduling the meeting.
2. Make sure at least one Moderator is attending the meeting, to control the flow.
3. Moderators participating from a room system should “pair” their computer to have access to the meeting controls (participant list, change layouts, mute participants, check on connectivity issues, etc.) Click here for pairing instructions.
4. Moderators and Participants should test connectivity of audio and video devices before the meeting:
   • Moderators can test the call by creating a test meeting (or entering the scheduled meeting in advance). Become familiar with the controls, to limit disruptions during the meeting.  Many participants may unmute themselves and you’ll want to mute them back.
   • You can direct Participants to test their system to ensure that they are able to hear and be heard on the call.  To test this we have a special testing meeting room you can send them to.
   • Moderators and Presenters can Share Content from any endpoint. Practice this during your test call.
   • You should not enable “auto-recording” when you schedule the meeting. Meetings tend to start late so start the recording manually, after all have arrived.
5.     ​Joining the Meeting
   • ​For high visibility meetings, such as company-wide meetings, we suggest:
     • Moderators and Presenters should start meeting 20 minutes early to prep. If sharing videos, be sure to upload the video beforehand.
     • Participants should join 10 minutes prior to the call to make sure they can hear and be heard before the meeting begins.
     • If possible, wear a headset when joining by a desktop/laptop. This will help eliminate noise and echo issues during the meeting.
   • ​It’s always advisable to have a dry run prior to a Town Hall or an All Hands type meeting to test all variables. BlueJeans provides “Meeting Assist” services to help with these type of meetings.
